Test Scheduling & Spacing
Some students require exams to be scheduled at a particular time of day and/or a specific amount of time between exams.
Test Scheduling: Students may have disability related impacts that restrict them from being able to write at a certain time of day (ex., before 10am or after 7pm).
Test Spacing: Some students require a specific amount of time between exams (i.e. 24 hours) due to their disability
Test Scheduling
Some students have disability-related restrictions that prevent writing an exam before or after a certain time of day (e.g., no exams before 10:00 a.m. or no exams ending after 7:00 p.m.).
Steps
- If an exam is scheduled within the restricted time in the accommodation plan, the student must contact their instructor to navigate an alternate start or end time.
- If instructor approval is received before the ATC booking deadline:
- Book the exam at the approved time.
- Note the approval in the comments section and forward the instructor’s email to testcentre@torontomu.ca.
- If approval is not received before the deadline:
- Book the exam at the original class time.
- Contact the ATC to reschedule once instructor permission is provided.
Email Template Example
Dear Professor,
My name is (YOUR NAME). I am a student in your (COURSE NAME, CODE, AND SECTION).
I am registered with AAS and sent you my accommodation plan, which includes that my evaluations are to be scheduled to start after (XX) and/or scheduled to end before (XX).
I understand that it is my responsibility to contact my instructors with advanced notice to reschedule an evaluation if there is a conflict, as per the instructions indicated on the AAS website.
The following test(s)/exam(s) on (DATE AND TIME) conflicts with my accommodation.
I am writing to request if I can write this test/exam at (PROPOSED TIME). If approved, I will forward your response to the Accommodated Test Centre who will reschedule at the agreed upon time.

Test Spacing
Some students require a minimum number of hours between exams (e.g., no more than one exam within 24 hours).
Important Clarification on Timing
Exam spacing is calculated from start time to start time. For example, if a student has a 24-hour spacing accommodation and one exam begins at 9:00 a.m., the next exam may not begin before 9:00 a.m. the following day. End times do not factor into the spacing calculation.
Steps
- If two exams fall within the restricted spacing window, the student must send one email to all instructors involved in the conflict to arrange an alternative writing time
- The email should confirm:
- That the exam-spacing accommodation is listed in their plan
- The dates and start times of the conflicting exams
- A request to reschedule one of the exam
- At least one instructor agrees to an alternate writing time (note - this is at the discretion of the instructor and the student may be offered the predetermined make-up date for the class, if available).
- If approval is received before the ATC booking deadline:
- Book both exams in the ATC portal by the appropriate deadline
- Note the approval in the comments and forward the email to the ATC.
- If approval is not received before the deadline:
- Book both exams at their original times by the appropriate deadline
- Contact the ATC to reschedule once permission is granted.

My name is (YOUR NAME). I am a student in both (LIST BOTH COURSE NAMES, CODES, AND SECTIONS).
I am registered with AAS and sent you my accommodation plan, which includes having no more than one exam per (AMOUNT) hours. The following exams are currently conflicting with my accommodation.

- Students writing in-person exams may be required to stay under invigilation at the Accommodated Test Centre (ATC) for a period of time. For example, if their accommodation plan states they cannot write exams before 10am but the rest of the class starts writing at 9am, the student may need to stay under invigilation at the ATC between 9-10am.
