Registration instructions and timelines for new postgraduate learners appointed to a residency program.
Congratulations on your residency position at the TMU School of Medicine! We are thrilled to welcome you.
Please review the instructions below in their entirety to complete your new learner registration for the Postgraduate Medical Education (PGME) program.
Trainees are responsible for ensuring all registration requirements are completed on time. Delays in fulfilling these requirements may impact the start or progression of your training.

Timelines to help keep your registration on track
The steps required to begin your training on time are outlined with both suggested timelines and firm deadlines.

Activate your TMU online identity
Activate your TMU online identity using the Online Identity Activation form. TMU’s Registrar’s Office will reach out directly to residents with TMU student numbers and information on how to register. If you did not receive this email by Monday, March 23, 2026, please check your junk and spam folders for the email before contacting PGME for further support.
Once you have completed the Online Identity Activation form, please wait 24 hours before logging into MyServiceHub.
For returning or former TMU students/applicants: If you already have a TMU online identity that you used to log in as a former TMU student or applicant, log in to the my.torontomu portal and proceed through the prompts for registration.

Checking your TMU email
Once you set up your TMU online identity, your TMU email will be the primary way for the PGME Office and your program communicate with you. Please check it regularly for important information about your registration and future training.

Complete the PGME registration form
To access the registration form, log into my.torontomu.ca, select MyServiceHub from the top bar, and go to the eForms Center. On the left side of the browser, you can navigate to the PGME Registration Form. Please verify that all your personal information is correct in the form. This information will populate your electronic Letter Of Appointment (eLOA), so please ensure full accuracy.
R1 Matched Learners: eLOAs require your CPSO Applicant Number (e.g. AA987654) to sign. (Note: CPSO should have reached out to you directly in mid-March with your CPSO Applicant Number and information on how to register with them. If you did not receive this email, please check your junk and spam folders for the email first before contacting CPSO Registration & Membership Services for further support). Once you have obtained your CPSO application or license number, please add it in the required field.
MSM and FM/ES Matched Learners: You will be required to add your CPSO license number in the required field.
It is essential that you keep TMU and PGME informed of any changes to your name, permanent home and/or mailing address, and phone number. If your information is not up to date, you will miss important mailings and notifications. MyServiceHub allows you to update your personal data.
Please note: If your name changes in the future, while you are a resident at TMU, you will be required to complete a Personal Data Change Form and submit supporting documentation (where applicable). Learn more about personal information change requests here.

Submit the registration fee
The 2026 fee of $1015 payable to Toronto Metropolitan University is required to complete registration through MyServiceHub. To complete payment, select eForms Center in MyServiceHub. From there, you can navigate to the Service Fee Payment. This payment can be done through Visa, Mastercard, or Amex.

OneCard and university services
Apply online for your card by using the OneCard Application Portal after you have activated your TMU email.
You can add your Digital OneCard to your smartphone/smartwatch via Apple or Google Wallet. It can be used to enter buildings on campus, access university services and pay for products.
You will be required to have your Digital OneCard to access TMU facilities.
Your clinical placement may require you to have physical proof of your TMU residency. For a physical copy of your OneCard, registration will need to be completed in its entirety. Your physical OneCard will be made available at the PGME Office at a future date, to be announced prior to the start of your training.

Vulnerable Sector Screening/Check (VSS/VSC) requirement
You are required to have a Level 3 Vulnerable Sector Screen/Check per TMU Policy. Level 2 will not be accepted.
R1 Matched Residents: VSS/VSC must have been completed within the last 12 months of your start date.
FSRM & FM/ES Matched Learners: TMU recognizes the VSS/VSC report as valid for five years from the date of issuance extending to the end of the academic year. For example, if a VSS/VSC is issued in July 2024, it remains valid until June 30, 2030. If your VSS/VSC is expected to expire within your appointed term (per your LOA), please apply for a VSS/VSC using the steps below.
The process to request VSS/VSC reports varies depending on your place of residence (instructions below). Please begin this process before your SGV account creation.
If the VSS/VSC report is not clear, please contact the PGME Office immediately. If a criminal record is identified, we will contact you with further steps.
Residing within Peel Region: If you currently reside in the Peel Region (Brampton/Mississauga/Caledon), information on how to begin your VSS check can be found on the Peel Region Police website. You will need to create an account and provide all necessary information.
Residing in Toronto (with a M postal code): Toronto Police Services requires you to use our institution code to register: 202503TPSONA3551.
Residing in Canada (outside the Peel Region): The VSS/VSC report must be requested from the police that services your home address. Please refer to your local police service to request a VSS/VSC.
Canadian citizens/permanent residents from outside of Canada: Many police services, such as Peel Region Police, permit individuals to begin their criminal record check online. If you have a Canadian address, please check in with your local jurisdiction and pursue this method.
If you do not have a Canadian address, please request a VSS/VSC at your local police service once you arrive in Canada.
Deadline: VSS/VSC reports are due on April 29, 2026.
Please note: As VSS/VSC reports can take up to 4 months to receive and cannot be expedited through police services, PGME strongly recommends you begin this step as soon as possible, so as not to delay your residency start date.

Immunization compliance
PGME learners are required to submit proof of immunization per the Council of Ontario Faculties of Medicine (COFM)’s Immunization and Screening Policy
All proof of immunization must be uploaded to SGV for verification within 30 days of your start date.
Per the policy, residents who do not comply with the immunization policy may be delayed in starting or continuing their medical training. Learners with a valid medical contraindication to a vaccine product (e.g., actively immunocompromised and live-attenuated vaccines) should contact the PGME Office for information about accommodation.
Your immunization form will outline the steps for proof of immunization:

| Measles | Demonstrated evidence of immunity including laboratory evidence of immunity OR documented 2 doses of a measles-containing vaccine. |
| Mumps | Demonstrated evidence of immunity including laboratory evidence of immunity OR documented 2 doses of a mumps-containing vaccine. |
| Rubella | Demonstrated evidence of immunity including laboratory evidence of immunity OR documented 1 dose of a rubella-containing vaccine. |
| Hepatitis B (HPV) | Documented evidence of a complete series of HBV immunizations AND testing for antibodies to HBs-Ag at least one month after the series is complete. |
| Polio | Documented history of a primary series is required (oral included). In the absence of documentation of an original series, the adult primary series consisting of at least three doses of inactivated polio vaccine (IPV) is required. |
| Tetanus/Diphtheria | Documented history of a primary series and dates of boosters (within the last 10 years) required. |
| Acellular Pertussis | Documented evidence of a single dose in the form of a Tdap. |
| Influenza (Annual) | Required for clinical placements occurring between November and April. |
| Covid-19 | Per Health Canada guidelines |

Deadline: Immunization compliance is required to be uploaded by May 15, 2026.


Deadline: CPSO registration must be completed by March 31, 2026.
Register for CPSO license
A CPSO license is mandatory before your residency start date. This process can take up to 4 months, so it is imperative that you begin the registration process as soon as possible. If you have completed your training outside of Canada, please ensure to regularly check the status of your application through the online portal and alert the PGME Office of any delays.

CPSO application
CPSO will contact CaRMS Matched R-1 residents directly at the email address provided to CaRMS following the match. At this time, you will receive information on how to log in to your account. Please note your Applicant Number, as this is required for LOA submission.
CPSO requires at least a Level 2 Police Check. Our required Level 3 VSS/VSC will fulfill this requirement.
CPSO recommends that residents submit applications as soon as they are able, regardless of the status of supporting documentation. Documentation can be added after the initial submission. This allows them to work through applications quicker and ensure your July 1 start date.
Please ensure to view your online profile frequently throughout the enrolment process. Any delays to CPSO status should be reported to PGME immediately to ensure the residency start date is not affected.

Accommodation requests
Accommodations are handled through the PGME Office and the School of Medicine’s Learner Affairs Unit (LAU). For more information on requesting accommodations, please visit the Learner Services page.
We encourage you to reach out as soon as possible, to ensure that you have the opportunity to support your needs.
March 2026
Letter of Appointment (LOA) approval
Approval of your LOA from the date of submission will take 1-2 weeks for the PGME Office to verify and process the approvals.
LOAs cannot be issued without CPSO AP numbers. Please ensure you have begun your CPSO application concurrent to your PGME Registration.

Letter of Appointment (LOA) retrieval from MyServiceHub
Electronic Letters of Appointment (eLOA) will be available through MyServiceHub.
The My Communications section of your MyServiceHub account at my.torontomu portal is where you will be able to retrieve and download your LOA once it has been approved and issued by the PGME Office. Click 'Pick up Letter' to view.
The My Communications tab is PGME’s primary method of communication with you relating to your LOA. To ensure your registration goes smoothly, please check this tab regularly until your final LOA submission has been received.

Letter of Appointment (LOA) sign back
Upon approval and signing of your LOA, PGME will approve and upload eLOA information directly to CPSO.
You will be required to sign the issued and approved LOA within 30 days of issuance. Failure to sign your LOA within 30 days could result in you being released from your residency program.
Please download and print a copy of your LOA. Once you have signed the LOA, please upload it to the My Communications tab. Your signed letter must be uploaded as a single .pdf or image (.jpeg, .png) file (maximum file size 10MB).
Ensure your attachment is a valid file and the document is clear and legible before uploading, as your submission cannot be accepted if it is not.
Your uploaded attachment must include all pages of the Letter of Appointment issued to you, including the signature page.
Failure to meet the obligations within the signed LOA can also result in your appointment being terminated, and being released from the applicable program.
April 2026
Synergy Gateway Verified™ account creation
To assist you with completing and verifying that your Vulnerable Sector Screen/Check (VSS/VSC), immunization, and mask fitting requirements are met, you will have access to Verified™, which is a software platform run through Synergy Gateway Verified (SGV).
In early April, you will be provided with a secure username and password by SGV through your TMU email. Through their system, you will be able to book your Electronic Requirements Verification (ERV) review to verify your clinical placement verification. Your adherence to our policies will be detailed to hospital partners ahead of your clinical rotations with them.
Deadline: account creation deadline is May 15, 2026.

Canadian Medical Protective Agency (CMPA) registration
Canadian Medical Protective Agency (CMPA) is a mutual medical defence organization for Canadian physicians. Do not wait to receive your CPSO license before applying for CMPA membership. On the CMPA application, indicate the type of license you will obtain (Postgraduate Education) and the province of licensure (Ontario).
CMPA may ask you to provide your Medical Identification Number for Canada (MINC) number. If you do not already have a MINC number, you can obtain this number from CPSO.
To register, please follow the instructions on the CMPA website (external link) on how to become a member. As they require 2-4 weeks of processing time, it is recommended that you begin this process as soon as possible.
To apply for CMPA, you will require the following:
- Canadian mailing address
- Canadian bank account*
*If you are an applicant from outside of Canada, learn about opening a Canadian bank account. You must set up a Canadian bank account prior to applying.
CMPA can begin processing your membership once they have received the following:
- Completed application form
- A valid method of payment
- All necessary documentation
CMPA will contact CaRMS Matched R-1 residents directly with application instructions.
Please note that CMPA membership costs are at the expense of residents. To learn more about reimbursement through the Ministry of Health here (external link) .
Please note: while your CMPA membership cannot be issued until you have your CPSO license, you can still begin your CMPA application prior to CPSO licensure. It is imperative that you submit all required information to obtain your CPSO license as soon as possible. You are responsible for providing your CPSO license number and effective date to the CMPA as soon as it is available.
Deadline: CMPA registration is required by May 31, 2026.

Required clinical placement modules
Ahead of clinical training, you will be required to complete the following modules:
- Accessibility for Ontarians with Disabilities Act (AODA)
- Workplace Hazardous Materials Information System (WHMIS)
- Workplace Violence & Harassment Prevention
- Worker Health & Safety Awareness
- Freedom of Information and Protection of Privacy Act (FIPPA)
- Emergency Preparedness Codes (Osler)
- Infection Prevention and Control
- Customer Service Standard
- Introduction to Phishing
- Privacy & Security (Osler)
- Needlestick & Sharps Injury Prevention
These are available on the Learning Management System (LAMS), along with program details such as clinical rotations, sites, and academic half day information. You will receive access to LAMS in April.
Failure to complete these modules will impact your anticipated start date.
Hospital-Specific Training: Any hospital-specific training - such as EMR training, hospital codes, and fire evacuation plans - will be provided on-site during your hospital orientation.
Please note: while your CMPA membership cannot be issued until you have your CPSO license, you can still begin your CMPA application prior to CPSO licensure. It is imperative that you submit all required information to obtain your CPSO license as soon as possible. You are responsible for providing your CPSO license number and effective date to the CMPA as soon as it is available.
Deadline: modules are required to be completed by May 31, 2026.
May 2026
Payroll enrolment
In May, you will be provided with information on how to enroll in our payroll services. In order to do so, you will be required to provide:
- Social Insurance Number (SIN)
- Canadian Bank Account
- Federal and Provincial Tax Forms (external link)
Please ensure you obtain your SIN and open a Canadian bank account as soon as possible if you have not yet done so. For any questions regarding your payroll information, please contact pgme.payroll@torontomu.ca.
Deadline: payroll enrolment deadline is June 1, 2026.

Benefits enrolment
In May, you will be provided with information on how to enroll in our benefits services.
Please view your benefits booklet on LAMS through your Resident Resource course. For any questions regarding your benefits information, please contact pgme.payroll@torontomu.ca.
Professional Association of Residents of Ontario (PARO) is a representative organization for residents in training in Ontario. The PARO-OTH Agreement (external link) provides an overview of the standards and rights that residents hold in this province.
You are automatically registered with PARO upon your CaRMS Match.
Please familiarize yourself with the PARO-OTH Agreement (external link) and contact paro@paroteam.ca if you have any questions.
