Located in downtown Toronto, the largest and most culturally diverse city in Canada and on the territory of the Anishinaabeg, Haudenosaunee, Mississaugas of the Credit and the Wendat Peoples, the Office of the Vice-Provost, Faculty Affairs at Toronto Metropolitan University [www.torontomu.ca] invites applications for a part-time administrative position, Indigenous Scholarship Committee Assistant to support the work of the Indigenous Scholarship Committee (ISC). 

This position is restricted to candidates who self-identify in the Applicant Diversity Self-ID questionnaire in the recruitment portal, as  First Nations, Métis, Inuit peoples, or Indigenous peoples of North America and who subsequently successfully complete an affirmation process at TMU. This process involves candidates providing relevant documentation to support the claim of Indigenous identity and participating in discussions with the University’s Indigenous Human Resources Lead in order to share relevant information about their lived experience.

About the Indigenous Scholarship Committee (ISC)

The Indigenous Scholarship Committee (ISC) is established through Memorandum ofUnderstanding 26 (MOU 26) of the Toronto Metropolitan Faculty Association (TFA) Collective Agreement, which affirms the University’s commitment to recruiting, supporting, and retaining Indigenous Faculty Members, Librarians and Professional Counsellors and advancing Indigenous Scholarship. The ISC is made up of Indigenous Scholars, including Indigenous Faculty Members, Librarians and Professional Counsellors. The ISC is responsible for supporting the advancement of Indigenous Scholars, scholarship, approaches and education at the University. The ISC reviews the scholarship of Indigenous Faculty Members and Indigenous Librarians, or duties of Indigenous Professional Counsellors in relation to the relevant hiring and evaluation processes and determines whether it constitutes Indigenous scholarship or whether the duties are undertaken using Indigenous approaches. 

The Opportunity

Reporting to the Director, Faculty Affairs, the Indigenous Scholarship Committee Assistant will provide administrative support to the Indigenous Scholarship Committee (ISC) and be responsible for: 

  • Scheduling and coordinating ISC meetings, preparing agendas, and recording detailed minutes; 
  • Maintaining an accurate and confidential registry of TMU-Affirmed and ISC-Affirmed Indigenous Scholars, Librarians, and Professional Counsellors; 
  • Coordinating with the ISC Chair, OVPFA, TFA, Deans’ offices and departments regarding the appointment of ISC members to hiring and evaluation committees; 
  • Assisting the ISC in developing and maintaining the ISC bylaws and terms of reference;
  • Assisting the Chair in drafting updates, reports and communications with the ISC, IFC and other University offices; 
  • Preparing and assembling information and materials for meetings, events, sessions or as requested;
  • Providing logistical support for meetings or events, as instructed, which may include booking the meeting, arranging for food and/or a venue, production and distribution of invitations, on-site support and assisting with other logistical details;
  • Assisting the ISC in its broader mission to support the advancement of Indigenous scholarship, approaches, and education at the University.

Qualifications

  • Candidates must self-identify as First Nations, Inuit, Métis, or as an Indigenous person of North America, preferably with a strong understanding of and commitment to Indigenous knowledge, methodologies and experience in collaborating with Indigenous students, organizations and communities.
  • Relevant office administration experience including working with a variety of stakeholders, triaging incoming requests, providing front-line support, completing tasks and projects within defined timelines, preparing various documents and reports, file management, meeting and event management.  
  • Proficiency in word processing programs (e.g. Microsoft Word, G-Suite, etc.) and virtual conferencing platforms. 
  • Demonstrated communication, interpersonal, organization and time management skills.
  • Demonstrated initiative and ability to troubleshoot and problem-solve. 
  • Ability to work in a fast-paced environment with changing schedules and priorities;
  • Strong relationship-building skills;
  • Proactive approach in anticipating committee needs and expectations in order to deliver comprehensive and high-quality service;
  • Strong research and investigative skills; presentation and facilitation skills;
  • Sound judgment and decision-making skills
