Current opportunities
The Medical Office Assistant (MOA) supports the clinical and administrative operations of the Integrated Health Centre (IHC) to ensure seamless experiences for patients and medical service providers. The MOA performs a dual role by providing both administrative coordination and clinical assistance to enable effective delivery of primary care. The role coordinates physician’s schedule, facilitates patient communications, maintains medical documentation, and carries out various clinical tasks such as patient intake and assisting with procedures.
Responsibilities Include
- Clinic and Schedule Coordination
- Coordinates physician’s calendar by booking, rescheduling, and canceling appointments to balance quality care and optimize flow and provider workload.
- Supports appointment efficiency by preparing visit information, confirming patient details, and flagging urgent scheduling needs to medical service providers.
- Monitors clinic inboxes (incoming emails and faxes) to ensure timely review and triage/routing of information to the appropriate providers, staff, or departments.
- Patient Communications and Administrative Tasks
- Handles phone calls and email correspondences with patients and external partners, providing clear information and timely follow-up.
- Relays patient messages promptly and accurately to medical service providers, documenting in the Electronic Medical Record (EMR) as required.
- Completes medical service provider-assigned tasks, including booking follow-ups, preparing referrals, delivering instructions or updates to patients, and processing billing for cancellations or documentation.
- Medical Records & Documentation
- Scans, uploads, and bills for medical documents in accordance with privacy regulations.
- Prepare and transmits complete medical records to third parties (e.g., insurers) upon request, ensuring accuracy and confidentiality.
- Updates the Electronic Medical Record (EMR) system to reflect current patient information, test results, and communications.
- Patient Intake and Clinical Assistance
- Calls and escorts patients to exam rooms and records vital signs, including Blood Pressure (BP), Heart Rate (HR), temperature, etc., in the EMR.
- Administers vaccines and document administration in the EMR following established protocols.
- Performs clinical tasks such as wound dressings and point-of-care testing (POCT) including urine dips and strep swabs, and reports results to medical service providers.
- Prepares exam rooms with necessary supplies for procedures (e.g., Intrauterine Device (IUD) insertions, cryotherapy)
- Specimen Handling and Infection Control
- Labels and prepares specimens for external lab pickup, ensuring proper documentation and packaging.
- Sterilizes equipment and disposes of biohazard materials following infection-prevention standards.
- Maintains vaccine refrigerator logs and monitors temperature to meet public-health requirements.
- Equipment & Inventory Maintenance
- Ensures exam rooms are stocked and clean, and ready for use at the start of each day.
- Monitors and restocks clinical supplies, including vaccine inventory, and places orders as needed to avoid shortages.
- Maintains basic equipment (e.g., BP cuffs, thermometers) by cleaning, checking functionality, and reporting maintenance issues to supervisors.

Required qualifications
- Minimum level of education and specialty/discipline required:
- Completion of secondary school graduation diploma.
- Minimum number of years and type/area of experience required given minimum education requirement:
- A minimum of 1 year of relevant work experience in a clinical or primary care setting performing medical office administration and/or direct patient support (e.g., scheduling, EMR documentation, patient intake, specimen handling).
- Required skills and demonstrated knowledge
- Familiarity with EMR systems and digital communication tools;
- Strong organizational, and customer service and patient-centred communication skills;
- Ability to multitask and manage competing priorities in a fast-paced clinical environment;
- Ability to administer Vaccinations and handle specimens;
- Knowledge of infection-prevention and control (IPAC) practices;
- Understanding of privacy and health-information confidentiality standards (e.g., PHIPA)
- Basic clinical measurements and documentation skills;
- Ability to work collaboratively with interprofessional teams.
- Required certifications, designation or licenses to complete the key responsibilities of the position:
- Medical Office Assistant (MOA) certification or equivalent healthcare administrative training.
Physical Effort
- This position requires routine physical activity most of the time. The incumbent is frequently using a computer/technology while composing and preparing reports, documents and letters for extended periods of time. Physical movement may also be required for extended periods of time while participating in special events.
Mental Effort
- The position requires sustained mental concentration when assessing patient/client needs, coordinating care, prioritizing multiple tasks, and responding to a variety of situations in a fast-paced clinical environment.
Working environment
- The majority of the incumbent's time is spent in an office and/or clinical environment. The incumbent is required to meet multiple and conflicting deadlines on a regular ongoing basis.
- Performs duties in a direct patient-care environment with routine handling of medical equipment and biological specimens under infection-prevention and control (IPAC) standards, with potential exposure to infectious diseases and biohazard materials.

The Registered Nurse (RN) provides high-quality, evidence-informed nursing care within the interprofessional primary care environment of the Integrated Health Centre (IHC). The role contributes to comprehensive, patient-centred care by performing nursing assessments, coordinating clinical services, and supporting the management of acute and chronic health conditions under the direction and collaboration of physicians and nurse practitioners. The RN promotes health, prevents illness, and enhances patient engagement through education, care coordination, and proactive follow-up. In addition, the RN also supports the academic and research mission of the School of Medicine by participating in interprofessional education (IPE) activities, mentoring learners, and contributing to quality improvement and population health initiatives.
Responsibilities inclde
- Clinical Care
- Performs comprehensive patient assessments including vital signs, health histories, and triage using evidence-informed practices to support diagnosis, treatment planning, and continuity of care.
- Provides direct nursing care including chronic disease monitoring, preventative care, wound management, immunizations, and medication administration.
- Supports physicians and nurse practitioners in implementing care plans by providing patient education, monitoring treatment progress, and coordinating follow-up care.
- Manages patient flow and appointment schedule to optimize clinical efficiency and ensure timely access to care.
- Documents all encounters, assessments, and interventions accurately and promptly in the electronic medical record (EMR) in accordance with CNO and PHIPA standards.
- Care Coordination and Patient Education
- Coordinates patient referrals to specialists, diagnostic imaging, laboratory testing, and community support programs to facilitate continuity of care.
- Engages in health promotion and patient education, particularly for patients with complex care needs.
- Liaises with external health providers, hospitals and community resources as needed to support integrated care transitions and follow-up.
- Advocates for patients by identifying barriers to care and connecting them to appropriate health and social resources.
- Academic and Interprofessional Collaboration
- Participates in the supervision and education of medical and interprofessional learners, contributing to the School of Medicine’s academic environment by demonstrating professional practice standards and providing constructive feedback.
- Collaborates with physicians, nurse practitioners, and allied health professionals in case conferences, team huddles, and clinic meetings to discuss patient progress and optimize care delivery.
- Contributes to research, quality improvement, and health-promotion initiatives within the IHC as appropriate.
- Quality, Safety, and Professional Practice
- Implements and maintains infection prevention and control practices, ensuring clinical areas, equipment, and procedures meet institutional health and safety standards.
- Supports the implementation and evaluation of quality improvement initiatives and research projects by providing clinical feedback and integrating updated protocols into daily care.
- Applies professional, institutional, and legal standards (e.g., CNO, PHIPA, IHC policies) in all aspects of clinical care and documentation to safeguard patient confidentiality, uphold ethical practice, and ensure regulatory compliance.

Required qualifications
- Minimum level of education and specialty/discipline required:
- Completion of a Bachelor of Science in Nursing (BScN) or equivalent;
- Registered Nurse in good standing with the College of Nurses of Ontario (CNO).
- Must hold or be eligible for an Adjunct Clinical Faculty appointment with the School of Medicine.
- Minimum number of years and type/area of experience required given minimum education requirement:
- A minimum of 2 years of experience in primary care, community health or family medicine environment.
- Required skills and demonstrated knowledge:
- Demonstrated proficiency with EMRs and digital health tools;
- Excellent communication, organizational, and problem-solving skills;
- Commitment to equity, diversity, and inclusion, and trauma-informed care in patient interactions and team collaboration;
- Knowledge of privacy legislation (PHIPA), infection control practices, and clinical documentation standards.
- Required certifications, designation or licenses to complete the key responsibilities of the position:
- Current CPR certification (BLS Level C).
