  • Measures the budgets against the expenditures and encumbrances to determine the funds availability. The report displays detailed as well as summary level information if you choose.
  • Go to
  • www.ryerson.ca/ogf and
  • click on the

  • Select Single Request (this option is set by default)
  • The Name field can display a list of reports that are available for you to submit. To view this list select the List of Values (LOV) or if you know the name of the report you want to submit type it in and click on Tab. 
  • In this example click the 
  • LIST OF VALUES
  • (...)
  •  button.
  • When the list appears select the report that you wish to run. 
  • In this example select
  • RU Revenue/Expense 3 Selections
  • from the list.
  • The 1st Segment selection parameter is used to select the criteria you would like to organize the report by.
  • Click the 
  • List of Values

  • If you know the cost centre values they can be keyed in, if you don't then click on the List of Values button to select it.
  • In this example click on the 
  • List of Values
  •  button.
  • If there are more than 25 cost centres that you have access to this screen will appear.  If you have less than 25 the list will appear. 
  • To see all cost centres In the  
  • Partial Value
  •  field. Enter
  •  a valid value e.g.
  •  "

  • " the wild character to search for all values in your list.
  • You can enter a different value in the
  • HIGH field
  • or leave the same value. It depends on what you want the report to display. Information on one cost centre or multiple.
  • Click the

  • There are two different budget types to choose from:
  • 1.
  • The Fiscal Budget
  • - Will be displayed as FY XXX BUDGET
  •                                       where XXX represents the fiscal year.
  •                                        eg. FY089 Budget stands for Fiscal Year
  •                                              May 1st,2008 - April 30,2009
  • 2.
  • The Project Budget
  • -  Will display datafrom the year the project
  •                                            started to the current period or when the
  •                                            project ended.
  • For this example we will be running the report for a research cost centre.
  • Research cost centres work on the
  • PROJECT BUDGET
  •  
  • Click in the 
  • Budget
  • field.
  • Click the
  • Budget LOV
  • (list of values) button.
  • Double click on
  • PROJECT BUDGET
  • Enter the desired information into the 
  • Period Name
  •  field.
  • In this example enter
  •  a valid value e.g.
  •  "
  • jun-09
  • ".  Users would normally enter the current period or previous period in this field
  • Select the report type to indicate which type of Report Type you are dealing with.  The four types are:
  • Period To Date
  • : Displays the balance for the period selected (e.g. Oct-08)
  • Quarter To Date Extended:
  • Is used when you want to view balances for a particular quarter. 
  •  (1st Quarter: May, June, July - 2nd Quarter: Aug., Sept., Oct. - 3rd Quarter: Nov., Dec. Jan. - 4th Quarter - Feb., March, April)
  • Year To Date Extended
  • : Will display the data from the beginning of the fiscal period (May 2008)
  •  up to the period you select in the period field. (ex. Oct.-08)
  • Project To Date
  • : Is used to view balances from the beginning of the project up to the period you selected (ex. Oct-08)
  • Click the 
  • List of Values

  • Select
  • PJTD (PROJECT-TO-DATE)

  • In the Encumbrance Type field

  • Select Y if you would like to see a listing of all account codes and the total for each. 
  • Select N if you would only like to see  the Summary Totals (TOTAL REVENUE, TOTAL SALARIES, TOTAL BENEFITS, TOTAL NON SALARY EXPENSES and the NET TOTAL)-

  • This report can be run a number of ways.  The most common will be to sort and organize the report by COST CENTRE.
  • Explanation
  • If you select
  • Cost Centre
  • for the 1st Segment selection field you are then prompted to enter the specific cost centre values to organize your report. Please note that the cost center is the lowest segment you can sort with. You will not be able to further sort the report if you select Cost center as your first segment.
  •  OR
  • If you select
  • PI
  • (Principle Investigator) in the 1st Segment and select the PI values you want to include in the report and then select
  • COST CENTRE
  •   in the 2nd Segment.  This will first sort the report by the PI values you selected and have access to and then further sort those by cost centre.
  • In this example we will run the report by cost centre. Here the
  • COST_CENTRE
  • is already selected click the 
  • OK

  • A

  • Funds Available (FA)
  • = Budget (B) - Actual (A) - Encumbrance(E)
  • Budget:
  • Estimate of revenues and expenditures for which actuals may be measured against.
  • Encumbrance:
  • Commitment of expenses.  Monies which have been committed for a particular expenditure.  E.g. A new computer has been ordered but not yet received.
  • Actual:
  • Expenditures or revenues that have already been incurred/received.  E.g. The invoice for the new computer has been received and processed into Accounts Payable.
  • To see the Funds Available for this cost center look at the net total line
